We currently have one provider, three medical assistants, plus remote support staff to assist with both patient care as well as Billing/Coding and Revenue Cycle.

We are looking to add on a friendly, dedicated and highly motivated OFFICE MANAGER who is a people person enjoys both times of being busy with STAFF OVERSIGHT OF patient interactions as well as office time for oversight of Coding and Revenue cycle management. We want a team player who enjoys being busy and working in a team oriented environment.

We see patients Mon-Wed in clinic and Friday on Telemedicine. Mornings, Thursdays and Fridays are protected time for admin duties.

We use Athena EMR.

REQUIREMENTS:

One year experience with Front Desk Staff and administrative duties.

Athena EMR experience preferred

Five years experience with Billing/Coding and Revenue Cycle Management

DUTIES:

STAFF OVERSIGHT: Mon-Fri

Monday morning meetings
Daily check in/check out with staff for questions/concerns and and day to day needs as "quick huddle"
Mon-Wed control clinic work flow oversight
Friday and every other Thursday for 2 hours - oversight of Telemedicine
Oversee staff inboxes to ensure work is completed promptly and daily
Direct Staff to areas of need to keep patient flow efficient
Manage Daily/Weekly and Monthly schedule/Vacations for staff
Manage office patient calendar under direction of physician
Process Payroll twice monthly: We use Hartford online - quick and efficient.
Handle staff questions/concerns
Process requests from Physician
Thursday/Friday: be available to clinical staff who will manage phones/Telemed visits while you are on Admin Duties, while overseeing Billing/Revenue staff.
Keep updated Policies/procedures and compliance: HIPAA and PCI.
BILLING/ACCOUNTS RECEIVABLE:

CODING: All coding is performed in house. We have a part time coder who creates the superbill and needs basic oversight.
BILLING: Bills are submitted to Athena EMR who performs insurance billing through a clearance house and also processes collections for us with inputting EOB data and amounts paid/due in the EMR.
CHART INQUIRIES: Some claims will have questions prior to Athena submitting to the insurance clearance house.
REVENUE CYCLE: Management will be responsible for running weekly and monthly reports for: Unpaid claims, Claim denials, Claim Underpayments, Collections, and Patient Balances. Reports are generated by Athena and easily available. These will be presented weekly as % Collections and Monthly as performance on AR at 30,60, 90, 120 and >120 intervals to physician. Your performance with efficient initial claim processing and collection of outstanding AR will directly result in PAY BONUSES.
We have a full time virtual staff for management for assistance with all of the above. The office manager is DIRECTLY responsible for this work flow; however has this staff to direct and provide guidance in how to best assist you day to day tasks for optimal Revenue Cycle Management.
HOURS:

Monday-Friday 9am-6pm.

We have flexibility on as needed basis and more flexibility on Thursday/Friday.

Mon-Wed

Patients are seen starting 11am - 5:15pm (getting finished usually at 6pm).

We have three MAs present and a receptionist in clinic Monday -Wednesday with 30-40 (max) patients, typically averaging 32. We also have one full time virtual MA for telemedicine, charting, a full time virtual Medical Coder/Biller and a part time virtual overflow assistant.

Thursday - Admin day. One MA available in house. One MA virtual. Medical Biller Coder full time. Every other Thursday we have 2 hours of telemed.

Friday - Telemed 10am-5pm. One MA in the office, one MA virtual. Medical Coder/biller full time and receptionist in office.

We have flexibility for needs with medical appointments/prn obligations.

ABOUT US:

Dr. Nesbit, Specialty Primary Care, is a single provider owned Primary Care office, where Dr. Nesbit serves as the solo owner/director/practitioner. We pride ourselves on going above and beyond basic primary care to fully manage or co-manage and coordinate specialty services.

We offer: Primary Care visits that includes chronic care that is predominantly adult internal medicine. We do see pediatric/adolescent patients and provide SPECIALTY CARE: Allergy/Immunology, Cardiology, Dermatology, ENT, Endocrinology/Diabetes Care, Gastroenterology, Geriatrics, GYN/Womens care (without OB), Infectious disease Neurology, Pain Management, Preventative Care, Psychiatry, Pulmonology, Rare disease management, Rheumatology, Sleep Medicine, Sports Medicine, minor Surgical Procedures, Urology, Weight Management among others.

Our referral bases are only to leading top specialists in the Tulsa Area as well as nation wide. From Dr. Nesbit's established experience and connections we are able to coordinate care to top providers within the same day/week when urgent to specialists with closed practice or prolonged wait times (3-6 months).

We have in house X-ray (run by MAs) and Point of Care Ultrasound (performed by the provider).

We offer Dry Needle Accupuncture with Electrical Stimulation and basic Osteopathic Maninpulation.

PAY:

We reward employees who are responsible, professional and meet the requirements of their position.

Base pay is $68,000/year with monthly bonus to be $80,000/year.

Earn $1000/month bonus as long as you hit benchmark parameters:

bills/claims are filed timely
denial buckets are worked on daily basis (not falling a week behind)
Staff is being managed as requested
