The Gerald R. Ford School of Public Policy is looking for a Senior Assistant to provide comprehensive administrative and operational support to our Professors of Practice (faculty). You will  help to facilitate the faculty's research, teaching, and service obligations by developing and maintaining an organizational filing structure, managing calendars, coordinating with internal and external constituents on incoming requests and events, arranging travel, assisting with research activity, and managing email. You will report directly to the faculty.

  • Filing management : Develop and maintain an organizational structure for all faculty-related files, ensuring easy access and systematic retrieval of documents, both in digital and physical formats. Audit and update the filing system to accommodate new types of documents and information as they arise, and to discard or archive materials following university policies and retention schedules. Train faculty members and relevant staff on the proper use of the filing system and the implementation of best practices in document management.
  • Scheduling support : manage daily, weekly, and monthly schedules for faculty members, including meetings, travel, events, classes, and office hours. Resolve both routine and complex inquiries. Respond promptly to all inquiries.
  • Travel & reimbursement support : arrange travel logistics and prepare detailed travel itineraries for the faculty, ensuring that all necessary files, materials, and supplies are prepared in advance. Reconcile purchasing card (P-Card) expenses and prepare and process travel reimbursements and expense reports in compliance with school and university guidelines.
  • Communication support : oversee faculty email accounts, prioritizing incoming messages, drafting and sending correspondence, and ensuring prompt responses to time-sensitive inquiries. Establish and maintain an email management system. Act as the first point of contact for various stakeholders attempting to reach the faculty.
  • External engagement support : manage and assess requests for public commentary, public lectures, panel discussions, consultations, interviews, or opinion pieces, ensuring that faculty members are prepared and available for media and external engagements that align with their expertise and research interests. Support faculty with research, preparation, and follow-up.

  • High school diploma or an equivalent combination of education and experience
  • 3+ years of high-level administrative support experience
  • Proficiency in office software and technology, such as MS Office, Google Suite, and Zoom
  • Detail-oriented with a proactive approach to problem-solving
  • Demonstrated editing, proof-reading, and writing experience
