Overview:
We are seeking a professional, organized, and personable Receptionist to join our dynamic team leading financial services firm for $21-$24 hourly. As the first point of contact for clients, visitors, and team members, the Receptionist plays a vital role in maintaining the company's polished image and ensuring smooth day-to-day front office operations.
Key Responsibilities:
Front Desk Management:
Greet clients, visitors, and employees with a warm and professional demeanor.
Manage incoming calls, emails, and correspondence, directing inquiries to the appropriate team members or departments.
Office Coordination:
Schedule and confirm appointments or meetings for clients and team members.
Maintain and manage meeting room bookings and ensure readiness (AV setup, cleanliness, etc.).
Handle incoming and outgoing mail, packages, and courier services.
Administrative Support:
Assist with data entry, filing, and document management.
Prepare basic reports, spreadsheets, or presentations as needed.
Support team members with administrative tasks or special projects as required.
Client Relations:
Provide exceptional customer service, ensuring client needs are met promptly.
Handle sensitive information with confidentiality and professionalism.
Office Maintenance:
Oversee the cleanliness and organization of the reception area.
Monitor and order office supplies, ensuring an adequate inventory at all times.
Liaise with facilities staff or vendors for maintenance or repair needs.
Qualifications:
High school diploma or equivalent (Associate's degree or higher preferred).
Proven experience as a receptionist or in a similar front office role.
Excellent communication skills, both verbal and written.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
Strong organizational skills with a keen eye for detail.
Professional appearance and demeanor.
Ability to multitask and prioritize in a fast-paced environment.
Familiarity with financial services or corporate settings is a plus.
