Reports to: Production Manager

We are seeking a detail-oriented and organized individual to join our retail company's Product Development team. As a Production Assistant, you will play a crucial role in maintaining accurate and up-to-date production status within our databases and systems and ensuring quality products. Your meticulousness and focus will contribute to the smooth and efficient operation of our production processes. This is an excellent opportunity for someone who enjoys working in import production and has a passion for the apparel industry.

Responsibilities:

• Production Support: Assist the Import Production Manager in implementing, monitoring, and adhering to the production schedule
• Record Keeping: Track, receive, record, and communicate in regards to bulk fabric approvals, PP samples, TOPs, and vendor chargebacks
• Accurate Data Entry: Entry and maintenance of all PO’s
• Engage with contractors/factories ; follow up on PO’s, making sure contractors/factories have all details to complete orders on time and with no quality issues
• Sample Maintenance: Adding new items, removing discontinued or outdated products to ensure that samples are updated and accessible for the Production and Product Development teams
• Be a liaison between the Production Department, Shipping Department, and contractors/factories
• QC: Book international inspections, organize and report findings to Production and Fit Team
• Organize shipping/receipt of TOPs for approval from Product Development team/ Tech Designers
• Communicate with buyers/merchandising team via email
• Communicate daily with all contractors using apps such as WeChat and via email
• Collaboration: Collaborate closely with the Product Development team to gather and update product information, resolve data-related queries, and provide support in maintaining accurate records; communicate effectively to ensure a smooth flow of information
• Process Improvement: Continuously evaluate processes and identify opportunities for improvement in terms of efficiency, accuracy, and productivity; propose and implement enhancements to streamline management workflows
• Data Security: Ensure the confidentiality and security of product data by adhering to the company's data protection policies and procedures; take appropriate measures to safeguard sensitive information and prevent unauthorized access
• Ability to multi-task and take initiative in fast paced environment
• Run weekly reports to track production WIP
• May be required to assist in other areas in order to ensure on time production

Requirements

• High school diploma or equivalent; additional education or certifications in garment production management or a related field is a plus
• Proficiency in using AIMS data software, spreadsheets, and databases
• Proven experience in production or a similar role
• Strong attention to detail and accuracy
• Excellent organizational and time management skills to handle multiple tasks and meet deadlines
• Self-starter with the ability to work independently with minimal supervision, as well as collaborate effectively within a team
• Strong problem-solving skills and a proactive approach to identifying and resolving data-related issues
• Excellent verbal and written communication skills
• Basic knowledge of garment manufacturing and product development processes, terminology, and industry trends
• Bilingual (Mandarin/English) a plus
