Performs a variety of professional and technical tasks to assist and support attorneys according to established policies and procedures with an emphasis on implementing technology solutions and using appropriate computer systems and software applications to support our lawyers to be more efficient and effective.
JOB RESPONSIBILITIES:
- Practice Support office staffed until at least 6 pm
- Around the clock availability to troubleshoot any issues with document review tools, trial presentation software, case management software, deposition transcript software, DocuSign, HighQ, and Lumainance.
- Proactively communicate with attorneys you are working with about your availability.
- Knowledge of legal tools; technology and trends generally available in the market and consideration of which are best suited for use at the firm including:
- Document Review Software
- Case management software
- Deposition Transcript Software
- Trial presentation Software
- iPad and iPhone litigation Apps
- Transactional software
- Master all legal tools and technology used at the firm.
- Develop and maintain a working knowledge of e-discovery laws (including prominent court decisions) and how transactional attorneys execute deals.
- Create, update, and follow written best practice guidelines, workflows, and forms for attorneys to use for standard e-discovery case management including the following:
- Document Preservation including litigation holds and interview checklists.
- Document Collections including chain of custody.
- Case management conferences including discovery protocols and preferred production formats.
- Document Productions including appropriate quality control processes.
- Due Diligence processes and date room management.
- Create new cases in Case Management Software and set-up initial views.
- Develop useful workflows and modifications for firm-wide use in document review software and case management software (e.g. document preservation and document production spreadsheets)
- Train attorneys and paralegals on all available legal technology tools as well as best practices in connection with typical e-discovery and transactional practices including, but not limited to, document preservation, collection, processing, review, productions, contract review.
- Train all litigation assistants on Case Management Software and other tools, as necessary
- Work with paralegals to develop and run annual training for newly assigned litigation attorneys on firm processes and available tools.
- Present e-discovery updates and new litigation tools to litigation department at monthly meetings
- Maintain relationships with third party vendor contacts as delegated by Director of Practice support.
- Responsible for quality control of vendors (timeliness, responsiveness, etc.)
- Assist with verifying accuracy of all bills.
- Communicate with attorney regarding cost estimates, budgets, and procedures.
- Keep legal team advised and updated on the status of all e-discovery tasks including document preservation, collection, processing, review, and productions.
- Always share technical issues with the legal team including error reports, inability to process or OCR certain documents, and any search issues.
- Coordinate and liaise with firm IT group on daily performance and security issues associated with all litigation tools and technology; Director of Practice Support will have primary interface with firm IT group, unless otherwise instructed.
- Maintain firm copies of all outgoing document productions until instructed by attorney to destroy such copies.
- Document all ESI received from clients including chain of custody.
- Maintain records of all incoming and outgoing document productions
- Record all time billable and nonbillable.
- Do not self-audit your billable time but allow attorneys to write-off billable time as necessary.
- Attend relevant CLEs and training opportunities.
- Participate in relevant Listservs.
- Read relevant blogs and periodicals in downtime.
- Listen to free webinars and CLE seminars including PLI.
KNOWLEDGE, SKILLS, AND ABILITIES :
- Bachelor’s degree in related field of study preferred.
- Credible knowledge of legal industry procedures and practices.
- Minimum of three to five years e-discovery or litigation support experience managing projects independently. Proven track record of leading projects, analyzing complex data, and providing technology solutions.
- Experience using relativity highly preferred.
- Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to concentrate and pay close attention to detail when evaluating legal matters.
- Ability to proofread typed material for contextual, grammatical, typographical, or spelling errors.
- Ability to effectively communicate verbally and in writing.
- Work occasionally requires a high level of mental effort and strain while organizing and maintaining multiple cases.
- Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position; may require work outside of normal working hours, including nights and weekends.
- Able to work in both remote and in office settings.
- Ability to travel to private and public buildings, locally and statewide, via private or public conveyance to assist attorneys in attending to client needs on legal matters.
- Able to test out, work with and figure out emerging technology and be able to apply it to improving legal work for our attorneys.
- Team player with an ability to build strong relationships at all levels of the firm.
- Ability to coordinate and work together with other practice support employees as well as back each other up.
- Able to handle situations with high expectations and tight deadlines.
- Ability to convey technology concepts in simple terms to those with little or no technology knowledge.
- Ability to provide top-notch client service to all clients, attorneys and professional staff.
- Able to testify in Court as a fact witness or as an expert on e-discovery.
- Extreme attention to detail is required; mistakes in discovery often cannot be remedied.
- Ability to strategize, plan and think outside the box.
- Demonstrate ownership of work and projects.
