Location: 355 NW Division St. Gresham, OR

Schedule: This is an in-person position

Wage Range: $20-$26 Hourly, non-exempt, eligible for overtime

POSITION SUMMARY:

The Clinic Operations Assistant Manager is responsible for overseeing office organization and workflow, support staff supervision, Intake staff supervision, supplies management, facilities management, front desk and billing management, and other duties at the NARA’s Outpatient Addictions Treatment program. The Outpatient Clinic Operations Assistant Manager works cooperatively with other program departments in conjunction with Outpatient Program Manager to provide support to the delivery of integrated behavioral health services.


RESPONSIBILITIES:

  • Answer multi-line phone system, directs calls, take messages in a courteous and professional manner.
  • Greet clients and assist them as needed.
  • Schedule client appointments and maintain schedules and calendars.
  • Provide general information about NARA programs, as requested.
  • Perform typing assignments, data entry and general office support as assigned.
  • Attend meetings as required.
  • Data entry of client appointments and groups rosters for billing
  • Sort, screen, and distribute incoming mail and process outgoing mail following postal regulations.
  • Perform clerical functions incidental to reception activity.
  • Observation of Urinalysis and ordering labs
  • Maintains and orders Food and pantry supplies.
  • Serving food and coffee to clients and community members
  • Kitchen clean-up and stocking
  • Coordinate special events: meetings, staff training, graduation, etc.
  • Back up for Intake prescreening clients for entry into the Outpatient program.
  • Manages data on the Census. (Openings/Closings/Counselor changes/Schedules, etc.)
  • Running Reports (Client tribes, ASAM, Closings, and about to be closed, Safety Checklist.)
  • Running reports on Client engagement and staff productivity.
  • Templating Staff schedules.
  • UA coordination and roster for groups run out of the Census.
  • Safety committee meetings and monthly inspections.
  • Responsible for guiding and overseeing the actions of other administration Assistants and providing leadership and assistance during their shift.
  • Will provide training and modeling to the admin staff.
  • Assist in Ordering supplies.
  • Perform other duties as assigned to meet NARA’s mission.


QUALIFICATIONS:

  • Post high school education includes course work in word processing and one year’s experience in performing the above duties – or – high school graduate or equivalent plus at least two years’ experience in performing the above duties or equivalent experience.
  • Ability to approach and interact with others in a warm, friendly, and supportive manner, creating a climate of trust, consideration, and mutual respect.
  • Evidence of ability to develop and maintain productive relationships with internal and external customers to build customer loyalty and business success.
  • Demonstrated ability to work cooperatively in conjunction with others in the same position.
  • Experience operating a multi-line phone system.
  • Ability to type 40 words per minute.
  • Experience in medical setting with high volume and fast-paced environment.
  • Knowledge of HIPPA rules and regulations required.
  • Familiarity with Centricity/Athena or similar software helpful.
  • Experience using Microsoft Excel.
  • Ability to maintain professional boundaries with clients, the community, and other staff members.
  • Work collaboratively with clients, other NARA staff, team members, and treat everyone with respect, and dignity always.
  • Experience working within the Native American/Alaska Native community is considered a plus.
  • Ability to pass a pre-employment or for cause drug tests.
  • Ability to pass criminal background and DMV checks.
