Job Summary:
We are seeking a highly organized and detail-oriented Online Virtual Assistant to provide administrative support to our construction team. As an Online Virtual Assistant, you will perform various tasks to ensure the smooth operation of our virtual office, including email management, calendar organization, data entry, and customer service.
Key Responsibilities:
· Manage email communications, responding to inquiries and forwarding messages to relevant teams
· Organize and maintain calendars, scheduling appointments and meetings
· Enter and update data in construction project management software (e.g., Procore, Bluebeam)
· Provide exceptional customer service to clients, subcontractors, and construction teams
· Assist with document management, including uploading and sharing files
· Coordinate travel arrangements, meetings, and appointments
· Maintain accurate records and files in cloud-based systems
· Support construction teams with special projects, RFIs, and other documentation as needed
Requirements:
· 1-2 years of experience in an administrative role, preferably in the construction industry
· High school diploma or equivalent required; associate's or bachelor's degree preferred
· Excellent communication, organizational, and time management skills
· Proficiency in Microsoft Office Suite, cloud-based systems, and construction software (e.g., Procore, Bluebeam)
· Ability to work independently in a remote setting
· Reliable internet connection and dedicated workspace
Preferred Qualifications:
· Experience with construction project management software and systems
· Knowledge of construction industry regulations and compliance
· Certification in administrative assistance or a related field
