We are seeking a dedicated and organized Office Representative to join our team. The ideal candidate will serve as the first point of contact for clients , providing exceptional customer service and administrative support. This role requires proficiency in various office management tasks, strong communication skills, and the ability to multitask effectively in a fast-paced environment.

Duties

• Follows through with all workflow operations established for service effectiveness.
• Maintain incoming customer and management requests by inputting requests and tracking status.
• Processes customer and internal management requests according to the organization's policies and procedures.
• Provides timely feedback to clients and internal management regarding service issues and concerns.
• Coordinates and assists in delivering training as needed for effective workflow and service.
• Partner with the corporate and field management team to ensure customer expectations are met.
• Reports on service, personnel, and customer needs. Experience and Education
• Collaborate with team members to enhance office efficiency and workflow.
• Utilize Microsoft Office and Google Workspace for various tasks, including document creation and spreadsheet management.

Skills

• Proficient in QuickBooks and Microsoft Office Suite (Word, Excel, PowerPoint).
• Bilingual candidates are encouraged to apply for enhanced communication with diverse clientele.
• Strong organizational skills with attention to detail in clerical tasks such as filing and data entry.
• Excellent customer service skills coupled with effective phone etiquette.

Experience and Education

• Performs work under general supervision.
• Handles moderately complex issues and problems, referring more complex issues to higher-level staff.
• Possesses solid working knowledge of subject matter.
• May provide leadership, coaching, and/or mentoring to a subordinate group.
• Typically requires a high school diploma and 2–4 years of related experience.

Requirements

• High school diploma or equivalent.
• 2–4 years of relevant experience.
• Strong problem-solving skills and ability to work independently.
• Excellent communication and interpersonal skills.
• Must be fluent in Spanish
