Addison Group is seeking a dedicated and experienced Office Manager to join our client, a busy and well-established healthcare practice. This role is essential in maintaining efficient office operations and delivering an excellent patient experience.

About the Role

The Office Manager will oversee daily administrative and operational tasks, ensuring smooth patient flow and efficient office management. This role requires strong leadership skills, healthcare administration experience, and a passion for patient-centered service.

Responsibilities

  • Manage office operations, including front desk activities, scheduling, and staff coordination.
  • Ensure smooth patient flow and an efficient scheduling process.
  • Maintain confidential patient records in compliance with HIPAA regulations.
  • Supervise and support front desk staff, including training and performance evaluations.
  • Assist in managing patient inquiries and maintaining high customer service standards.
  • Coordinate with the billing team to ensure financial accuracy.
  • Order and manage office supplies and equipment.
  • Provide administrative support to leadership, including scheduling meetings and preparing reports.
  • Assist with recruitment, onboarding, and performance management of front desk staff.
  • Ensure adherence to practice policies and procedures.
  • Support occasional weekend flu shot clinics during peak flu season (1-2 Saturdays).

Qualifications

  • Experience: Minimum 1-2 years of office management experience, preferably in healthcare.
  • Education: Bachelor’s degree in Health Administration preferred; 4-6 years of relevant experience considered.
  • Strong administrative and workflow management skills.
  • Proficiency in Microsoft Office (Word, Excel).
  • Experience with ECW (EHR system) is highly preferred.
  • Previous pediatric office experience is a plus.
  • Strong multitasking, communication, and leadership abilities.
  • High level of professionalism, customer service skills, and attention to detail.
