Job Description

Position Overview

The Facilities Manager is responsible for ensuring the safety, functionality, and cost-efficiency of facilities and equipment at the University of Texas Etter-Harbin Alumni Center. This role involves overseeing building upkeep, grounds maintenance, and equipment management while ensuring compliance with operational, safety, and environmental standards. Working within budget constraints and company policies, the Facility Manager takes a hands-on approach, coordinating maintenance efforts and collaborating closely with vendors and stakeholders to support effective facility operations.

Major Job Functions

Building and physical assets

· Inspect buildings, grounds and equipment for unsafe or malfunctioning conditions and perform necessary work to ensure the safety of the building's tenants and the continuous operation of the site, responding quickly to emergency situations.

· Provide preventative maintenance & repairs

o Maintain an efficient, clean and welcoming building

o Oversee building inspections/walk-throughs

o Interface with vendors and University of Texas personnel

o Keep office equipment maintained

· Create a preventive maintenance program for all HVAC, electrical, plumbing, safety, and all other essential systems.

· Be responsive to tenant complaints in the areas of safety, plumbing, mechanical, electrical and environmental needs through both personal contact and work order systems.

· Maintain association vehicles.

· Maintain lockup procedures for security purposes.

· Direct and review janitorial company.

· Assist with construction project management by interfacing with contractors and managing construction budgets.

· Assist with preparing budget for building maintenance and repairs, building supplies and capital investment.

· Assist with coordinating maintenance efforts with outside contractors and technicians when work cannot be performed in-house.

· Order parts and supplies as required and maintain stock and inventory control.

· Provide daily oversight of activities in the building including garage usage and serving as backup for AV troubleshooting and setup.

· Be familiar with and conform to all written operating procedures associated with site.

· Perform other duties as assigned that may include: pressure washing, tile installation, and furniture repair.

Management and Personnel

· Assist with evacuation plans and fire safety by organizing fire drills and educating and preparing staff.

· Provide new employee set up – keys, parking permit, garage pass, building codes, mailbox.

· Orient new employees to facilities operations – emergency evacuation, kitchen etiquette, mail room.

· Perform assigned duties on employee termination checklist.

· Provide supervision and delegate work assignments to any facilities employees.

Other

· Assist with planning, managing and executing game day tailgates, including away game tailgate activities, ensuring all necessary steps are taken by all parties to provide successful events.

· Liaise with catering partner staff for effective building use.

Essential Job Requirements

· Minimum of 5 years’ experience in building operations.

· Attention to detail and strong organizational and time management skills to maintain 80,000 square foot building and property.

· Possesses a deep understanding of balancing priorities and delivering cost effective solutions.

· Basic understanding of plumbing, electrical, HVAC, lighting, and general building systems.

· Professional attitude and presentation.

· Strong interpersonal and communication skills.

· Proficiency in Microsoft Office and typical business computer skills.

· Available and on call outside of normal business hours.

· Fluent English required, Spanish speaking a plus.

· Ability to lift 50 pounds.

· Ability to attend occasional evening and weekend events.
