Executive Assistant to the Town Manager

Town Manager’s Office

Full-time with excellent benefits

*Anticipated Hiring Range: $60,000-$65,000

GENERAL PURPOSE

This position is responsible for performing a variety of highly confidential, complex administrative and clerical support duties for the Select Board, Town Manager, Deputy Town Manager and Assistant Town Manager/Director of Operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Provides administrative and clerical support for the Select Board, Town Manager, Deputy Town Manager and Assistant Town Manager/Director of Operations.
  • Assists in preparing the agenda and supporting packets; oversees the review and final production of Select Board minutes and reports, including assessing the completeness of submitted reports.
  • Will serve as parking clerk responsible for reviewing parking appeals and issuing decisions. Receives and researches complaints, concerns and other inquiries from residents and business owners; refers to appropriate department or responds as appropriate.
  • Maintains and manages the schedules and appointments of the Town Manager and the Select Board.
  • Oversees the processing of complaints and general liability claims filed against the Town; coordinates claims processing through insurance carrier and/or Town counsel.
  • Assists the Deputy Town Manager and Human Resources Director in preparation for Collective Bargaining by obtaining contracts, researching information and scheduling bargaining sessions.
  • Maintains databases, files, laser fiche and records as required.
  • Maintains Town Board and Committee appointment roster and produces reports as requested.
  • Coordinates Appointment Sub-committee activities including scheduling interviews and ensuring application material is complete.
  • Prepares Certificates of Appreciation and Proclamations and other types of recognition.
  • Provides effective and efficient customer service and promotes and maintains responsive community relations.
  • Follow safe work practices.
  • Performs related duties as assigned.

MINIMIUM QUALIFICATIONS

Education, Training and Experience:

Graduation from college or university with an Associate’s Degree in Business or similar field; supplemented by at least 3 years of experience in an administrative or clerical role; or any equivalent combination of training and experience which provides the following knowledge, ability and skills:

Knowledge of:

  • Department policies and procedures.
  • Business English, including grammar, punctuation, format and tone.
  • The use of standard office equipment including computers and relevant software programs.

Ability to:

  • Multi-task and prioritize work.
  • Maintain confidentiality.
  • Work independently with minimal supervision.
  • Establish and maintain effective working relationships with supervisors, elected officials, residents, and members of the general public.

Skill in:

  • Oral and written communications.
  • Dealing courteously and professionally with others.
  • Customer service and problem solving.
