Assistant Athletic Director of External Operations

Description

The Assistant Athletic Director of External Operations reports directly to the Deputy Athletic Director and is responsible for oversight and supervision of athletic department operations to ensure optimal efficiency and effectiveness across many areas. The AD will be responsible for the day-to-day facility scheduling and care, oversight of sponsorship development, engagement, and game day integration, academic support and eligibility certification, and many departmental operations necessary for day-to-day optimum functioning. This position will develop and execute strategies to ensure collaboration and alignment amongst these areas and within the rest of the department to unify and strengthen the university and department vision.

Responsibilities

Essential Position Functions

  • Plans, administers, conducts, and evaluates all responsibilities with a goal of operational excellence.
  • Oversees the day-to-day scheduling and communication of all athletic facilities. This includes collaborating with camps partners to ensure efficient use of and communication of facility usage.
  • Oversees facility rentals of outside groups and ensuring proper contract, insurance, and payment is received in a timely manner.
  • Resolves facility issues, both in scheduling and in function.
  • Builds, maintains, and strengthens positive relationships with current athletics sponsors.
  • Seeks out potential partners that fit with the vision of Life University Athletics to generate revenue and meet department fundraising goals.
  • Serves as the department liaison to applicable campus partners, including facility management, campus safety, student affairs, and any entity wanting to use athletic facility space.
  • Assists in leading the execution of game day operations.
  • Assists with supervising and scheduling work-studies to assist with office duties and game operations.
  • Support academic performance of student-athletes by carrying out day-to-day tasks such as monitoring student-athlete class schedules, grades, developing progress reports, and assisting with eligibility certification.
  • Assists with the planning and execution of annual events, such as the Student-Athlete Banquet and Hall of Fame
  • Support Deputy Athletic Director by processing invoices for efficient department purchasing and payment.
  • Assists department in collective purchasing of items such as office supplies.
  • Ability to work in a high pace environment under stress. Nights and weekends are required.
  • Performs additional responsibilities/duties as required and performs special projects as needed or requested.

Requirements

Education, Training and/or Experience

  • Bachelor’s degree
  • Experience in a collegiate athletics department
  • Demonstrated ability to solve athletic related issues under pressure

Knowledge, Skills, Abilities and Personal Characteristics

  • Demonstrated skill in multi-tasking, organization and planning.
  • Excellent verbal and written communication skills.
  • Demonstrated successful record of working with a diverse student, faculty and staff community.

Preferred Qualifications

  • Master’s degree
  • Experience with event scheduling/management
  • Knowledge of NAIA compliance and eligibility rules

PHYSICAL DEMANDS

  • Nature of work requires an ability to operate standard business office equipment.
  • Requires ability to communicate and exchange information, collect, compile and prepare work documents, set-up and maintain work files.
  • Must be able to lift 25 lbs. retrieving and placing materials on high shelves and on floor-level shelves; standing walking, carrying, grasping, hearing, seeing, sitting, kneeling, climbing, balancing, stooping, crouching, and reaching.

WORKING CONDITIONS

  • Work performed in both a general office environment and outside areas.
  • Moderate amount of travel is required.
  • Must be able to work evening/weekend hours and/or a modified work week schedule
